These policies describe how The Perfect Headshot actually operates today, but they have not yet been reviewed by an attorney and are not legal advice. If anything here matters to a decision you are making, ask us — we would rather answer than have you rely on a draft.

Four things in one place: what you get and what we may do with your photos, what we collect and who we share it with, what our text messages are, and how to reach us if any of this is hard to use.

Terms

Your images, and ours

Your images: you receive an unlimited, lifetime license to use your purchased photos anywhere — personal, professional, or commercial (they just can't be resold as stock photography). Our images of you: we're proud of our work, and we only ever share a client's finished photos with their permission. After delivery we may ask if we can feature yours; saying no is always fine and changes nothing about your session.

In plain terms: we hold the copyright in the photographs we create, and you hold a license to use the ones you purchase, forever, for anything except reselling the image itself as stock. Nothing about that license expires, and nothing about it depends on staying on our mailing list.

If we want to show your photos

We ask, at delivery, in your gallery. There are two separate permissions and you can grant either, both, or neither: showcase (our website, social media and portfolio) and advertising (paid ads). A third — appearing in a published book or print publication — is never covered by that card and is only ever done under a separate release you sign, naming the publication.

Only final, client-selected, retouched images are ever used this way. Never proofs, never frames you didn't choose.

You can withdraw permission at any time, and we act on it for everything going forward. What we cannot do is un-print a magazine or un-run an ad that has already been placed — withdrawal is forward-only, and we would rather say that plainly than surprise you with it later.

Sessions, payment and changes

Sessions are paid in full at booking. Cancellations are non-refundable. One reschedule is allowed if made more than 24 hrs in advance. Retouched images are $130 each and are chosen by you inside your gallery after the session; your session fee covers the studio time, the direction, and the full proof gallery.

Everything in a proof gallery is a working version — watermarked, screen-sized, and not the finished photograph. How proofs and finished images work explains that in full.

Privacy

We collect what a photography studio needs to photograph you and get your pictures to you, and we would rather list it than summarize it.

What we collect

  • Booking details — your name, email address, phone number, the package and time you chose, and any notes you send us. If you book a session for someone else, the same details for them, because they are the person we are photographing.
  • Your photographs — the frames from your session, the proofs made from them, and the retouched finals. These are stored in private cloud storage and your gallery is reachable only by its private link (and its PIN, if yours has one).
  • Payment information— handled entirely by Stripe. Your card is entered on Stripe's own checkout page and we never see or store card numbers. What comes back to us is the amount, the status, and the last digits Stripe shows on a receipt.
  • Gallery activity — whether a gallery was opened, which images were viewed, favourited or selected. This is how we know a delivery landed and which frames to prioritise. It is tied to an anonymous per-gallery identifier, not to a tracking profile, and where we need to recognise a network address at all (for login protection) we store a one-way fingerprint of it rather than the address.
  • Email and text records — what we sent you, when, and whether it arrived. This is our delivery audit trail; it is also how we can tell you what happened when an email goes missing.
  • Chat messages— if you use the chat on our site, what you type is sent to our AI assistant provider to answer you, and is kept so we can follow up. Please don't put anything sensitive in it.

Who we share it with

We do not sell your information, and we do not share it for anyone else's marketing. We use service providers to run the studio, and they only get what their job needs: Stripe (payments), Resend (email delivery), Twilio (text messages), Cloudflare R2 and our database host (image and record storage), Vercel (hosting), Anthropic (the site chat assistant), and professional editing software including AI-assisted retouching tools, which process the images from your session.

We will also disclose information where the law requires it — and we will tell you unless we are forbidden to.

How long we keep it

Business and payment records are kept as long as tax and accounting rules require. Photographs are kept as part of our archive so we can re-deliver a file you lose years later — a service we would rather offer than withhold. If you want your images deleted from our archive, ask and we will do it; that is irreversible, so we will confirm with you first.

Your choices

  • Marketing email: every promotional email we send has an unsubscribe link, and using it stops promotional email. It deliberately does not stop the emails about your own session and your own photographs — a client once opted out of marketing and could no longer be reached about her own gallery, and we will not build that again. To stop those too, just tell us.
  • Access, correction, deletion: ask us and we will tell you what we hold about you, fix it, or delete what we are not required to keep.
  • Photo permissions: grant or withdraw them any time (see Terms above).

Our services are for adults. We do not knowingly collect information from children without a parent or guardian present and consenting — a minor's session is booked and consented to by their parent or guardian.

Text messages (SMS)

We text about your appointment, and nothing else. There are two kinds of message in the world and we only send the first:

  • Transactional / appointment texts — booking confirmations, reminders, and reschedule notices for a session you booked. These are what you opt in to at booking.
  • Marketing texts — promotions, offers, campaigns. We do not send these. If that ever changes, it will be a separate, clearly-labelled opt-in, and ticking it will never be a condition of booking.

How you opt in

By ticking the SMS box on the booking form — unticked by default — after entering your phone number. The box reads:

Text me appointment updates — confirmation, reminders, and reschedules. Message & data rates may apply; reply STOP to opt out, HELP for help. Consent isn't a condition of booking.

We record the moment you ticked it. Consent is not a condition of booking or of any purchase — decline it and everything still works by email.

STOP, HELP, and frequency

  • Reply STOP to any message to stop all texts immediately. You will get one confirmation that it worked, and nothing after that.
  • Reply HELP for help, or contact us at hello@theperfectheadshot.com.
  • Message frequency varies with your bookings — in practice a handful of messages per session, not a stream.
  • Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
  • Stopping texts never stops your emails about your session or your photographs.

Accessibility

We want everyone to be able to book a session and see their own photographs, and we treat an accessibility problem as a bug in our work rather than a limitation of yours.

We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.1 at level AA. In practice that means the booking flow and your gallery should be operable by keyboard, usable with a screen reader, legible at high zoom, and free of anything that depends on colour alone to make sense. We check this as we build; we have not had a formal third-party audit, and we would rather say so than imply a certification we do not hold.

The studio itself is at street level with parking in the circle driveway directly outside. If you have access needs for your session — mobility, lighting sensitivity, timing, a support person, anything at all — tell us when you book and we will arrange the session around them.
